In this role, youÂ’ll help manage email, calendars, and personal travel, act as a trusted gatekeeper, and play a vital part in ensuring our operations run seamlessly as our business grows.

Responsibilities
• Email & Calendar Management: Organize and prioritize the executive’s inbox, schedule meetings, and ensure time is optimized for success.
• Personal Travel Planning: Research and book flights, accommodations, and itineraries. This may also include organizing her family’s calendar and activities.
• Gatekeeping: Serve as the first point of contact, prioritizing, and filtering what needs the executive’s attention.
• Communication: Interact with colleagues, clients, and vendors with professionalism, kindness, and a touch of our friendly company personality.
• General Administrative Support: Help routing emails, fielding calls, drafting blog posts, or engaging with social media comments to keep operations running smoothly.
Qualifications
• Proven experience as an Executive Assistant or in a similar role.
• Native or near-native English proficiency
• Exceptional organizational and communication skills.
• Ability to work independently and take initiative in solving problems.
• Proficiency in Google Workspace.
• Strong writing skills for crafting blog posts, emails, or social media content.
• Tech-savvy, with the ability to organize digital assets and troubleshoot device issues.
• A creative eye for editing presentations, documents, or marketing materials.
• A collaborative spirit and a good sense of humor—you’ll fit right in with our team if you love brainstorming new ideas!
Would Be Nice to Have:
• Experience with bookkeeping or financial management.
• Familiarity with Canva and other creative tools.
• Knowledge of project management tools like Monday.com.
• Experience with QuickBooks and CRMs such as Nutshell.
• Multilingual abilities, especially in Italian.
• Familiarity with travel booking platforms and processes.
• Video editing skills.
• Previous experience in the travel industry or a related field.
Details
• Hours: Part-time, minimum 15 hours per week with the flexibility for more, upon request and during busy seasons.
• Location: Remote; our team operates between CST (U.S.) and Southern Italy.
• Compensation: Competitive and based on experience.
