Key Responsibilities
• Deliver comprehensive administrative assistance to two divisions, facilitating efficient departmental functioning.
• Act as a liaison among department administration, state agencies, and diverse stakeholders.
• Conduct research and compile reports as requested by supervisors.
• Manage correspondence and engage verbally with the public and other agency representatives.
• Route incoming communications to appropriate personnel.
• Ensure effective flow of documentation through established channels.
• Coordinate electronic reservations for vehicles and meeting spaces.
• Arrange out-of-state travel, including transportation, accommodations, and registration, while inputting details into the designated system.
• Provide support to team members in preparing expense reports.
• Manage onboarding arrangements for new hires, including ordering essential equipment.
• Review and organize incoming and outgoing mail.
• Participate in special projects, such as the J1 Visa Waiver program.
• Secure necessary approvals for various documents.
• Oversee multiple clerical and administrative functions.
• Execute additional duties as assigned, with minimal travel to service locations as required.
Required Skills
• High school diploma is a must.
• Minimum of 3 years of full-time experience in administrative support, bookkeeping, office management, or comparable roles.
• Proficient in MS Office applications, including Outlook, Word, Excel, and Teams.
• Capable of drafting clear and professional emails and written correspondence with accuracy in grammar, spelling, and punctuation.
• Strong focus on detail, ensuring data accuracy and confidentiality are maintained.
• Excellent organizational and interpersonal communication skills.
• Coursework in administrative assistance or secretarial studies is advantageous.
• Experience in scheduling travel arrangements and managing calendars is essential.
• Familiarity with PeopleSoft is a valuable asset.
