Key Responsibilities
• Execute a diverse range of administrative and project coordination tasks with minimal oversight.
• Draft correspondence, conduct thorough research, compile materials and reports, and create presentations using word processing and spreadsheet software.
• Deliver confidential administrative support to the executive, ensuring effective communication during meetings, emails, and phone interactions.
• Organize travel plans and itineraries for the executive and team members as required.
• Prepare expense reports and manage logistical arrangements for executive meetings, teleconferences, visitors, and consultants.
• Oversee the executive’s calendar utilizing Outlook, proactively identifying potential conflicts and proposing viable alternatives.
• Uphold the highest standards of confidentiality and professionalism in all interactions.
• Create a welcoming atmosphere within the organization, emphasizing responsiveness and professionalism.
• Efficiently manage a high volume of tasks while remaining flexible to shifting priorities.
• Engage supportively with team members at all levels, particularly senior executives.
• Perform additional duties as assigned based on the needs of the department.
• Comply with all regulations, policies, work procedures, and safety protocols.
• Maintain a consistent record of reliable and punctual attendance.

Required Skills
• Associate’s degree or higher.
• Proven experience in handling highly confidential information and materials.
• Exceptional communication and interpersonal abilities.
• Proficiency in MS Office (Excel, Word, Outlook, PowerPoint).
• Strong calendar management skills for C-suite executives using Outlook.
• Ability to effectively gather information and communicate clearly.
• Proactive with the ability to exercise sound judgment in high-pressure situations.
• Strong organizational skills coupled with a commitment to timely project delivery and meticulous attention to detail.
• Flexibility to work beyond standard hours and adapt to rapidly changing priorities.
• Professional demeanor when engaging with team members, clients, board members, and investors.

Qualifications
• Associate’s degree or higher; a Bachelor’s degree is preferred.
• Experience arranging executive travel and meetings with acute attention to detail.
