Summary:
We are seeking a highly organized and dedicated Administrative Assistant to provide comprehensive support to the CEO of our newly established university in Miami. The selected candidate will be an integral team member, working initially on a part-time basis with the opportunity to transition to full-time within 12-24 months. This role requires exceptional attention to detail, the ability to manage multiple tasks efficiently, and a high level of discretion and professionalism.
Key Responsibilities:
• Provide direct administrative support to the CEO, managing calendars, scheduling meetings, and coordinating travel arrangements.
• Act as a point of contact between the CEO, faculty, staff, students, and external partners.
• Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
• Organize and manage logistics for board meetings, academic conferences, and special events.
• Take detailed minutes during meetings and follow up on action items.
• Maintain an organized filing system for essential documents, ensuring confidentiality and ease of access for the CEO.
• Assist in the preparation of reports and briefing materials for the CEO’s review.
• Manage incoming calls and emails, providing prompt responses or directing queries to the appropriate departments.
• Draft and send out mass communications on behalf of the CEO when required.
• Support various administrative projects initiated by the CEO, providing research, analysis, and coordination as needed.
• Track and help drive completion of key deliverables and follow up on outstanding items.
• Leading the coordination of major university events including commencement, convocation, and executive retreats.
• Playing a key role in liaising with the Board of Trustees, preparing agendas, and managing the distribution of materials.
• Overseeing special projects, potentially including community outreach initiatives and internal policy development.
Qualifications:
• Associate or Bachelor’s degree in Business Administration, Communication, or a related field is preferred.
• Proven experience as an administrative assistant or in a similar role.
• Exceptional written and verbal communication skills.
• Proficiency in Microsoft Office Suite, with a willingness to learn new software and systems.
• Strong organizational skills with the ability to multitask and prioritize work.
• Discretion and confidentiality are paramount.
• Must be adaptable to the evolving needs of a newly established institution.
Job Types: Part-time, Contract
Pay: $19.98 – $21.32 per hour
Expected hours: 2 – 20 per week
