Job Tenure : 3+ months

Descriptions –

Location: 2700 Quarry Lake Drive. Baltimore, MD 21209

Monday-Friday: 8am-4:30pm

Position Summary:

Performs a variety of administrative and clerical duties to proactively identify and respond to the needs of the patients, medical office staff, and physicians.

Tasks:

-Places, receives and screens telephone calls; determines nature of call and provides general information, referring more complex calls to other team members.

-Greets, screens and directs visitors, patients, sales representatives, etc.

-Schedules appointments, maintains calendars, arranges meetings and conferences, and makes travel arrangements.

-May serve as liaison to Human Resources and Payroll. May maintain payroll.

-Assists with Departmental budget.

-May assist with the application for research grants.

Patient Services

-Services the needs of patients in the Medical Office.

-Schedules patient appointments, may post surgeries, etc.

-Performs pre-registration or registration by interviewing patient and obtaining relevant information e.g., personal demographics and health insurance information.

-Obtains necessary authorizations.

May assist patients in examination room when needed. Adheres to all hospital infection control and safety policies. May collect Copays and make deposits.

Clerical

-Performs clerical and data entry as directed by the manager or their designee.

-Opens, sorts and distributes incoming mail; answers routine correspondence independently.

-Maintains office supplies; prepares inventory and purchase orders.

-May perform Transcription.

Records Management

-Establishes, maintains and revises departmental and patient files and records.

-Collects relevant information.

-Abstracts data from manual or computerized records.

-Performs research for articles, books, etc. and maintains medical literature.

Professional and Teamwork

-Displays a commitment to the value of teamwork by building strong relationships with patients, families, co-workers and the surrounding community; and by being cooperative and collaborative in the performance of duties to promote a unified workfare.

-Participates in departmental special projects as needed. Attends meetings, in-services, etc., as required.

-Displays an understanding and awareness of, and performs all duties in accordance with, the Hospital’s -Mission and Vision statements.

-Performs other duties as needed or assigned.

-Ensures that all customers receive exemplary service. Serves as a patient/customer advocate when needed.

-Demonstrates empathy and understanding of patient/customer concerns by listening carefully and responding appropriately.

-Exceed patient/customer needs by anticipating, identifying and responding to such needs in a prompt and courteous manner.

-Focuses on what can be done to improve situations for the patient, co-worker and other customers. Keeps patients/customers informed, explain delays, and provide clear and concise information.

-Maintains patient confidentiality; respects the privacy and needs of all patients; continually demonstrates actions that indicate an understanding of patient rights.

-Portrays a positive organizational image through adherence to dress code and maintaining a clean work environment.

-Recognizes everyone, including patients, visitors and co-workers as customers and treats them with dignity, courtesy and respect.

-Works at maintaining a good rapport and appropriate departmental relationships with all patient care personnel, promotes a spirit of cooperation through frequent communication.

-Demonstrates knowledge of and behaviors consistent with standards of conduct and code of excellence. –Acts in a way that shows sensitivity for confidentiality, integrity and respect for diversity.

Billing

-Optimizes facility and professional charge entry and subsequent collections for all services provided.

-Collects co-pays and fees from patient according to established policies and procedures. Performs charge entry and BAR functions, according to established policies and procedures.

Qualifications/Requirements

-Education/Knowledge: Entry level knowledge; basic employment skills; High School diploma: GED equivalent or High School certificate.

-Experience: 3-5 years
