Job Description

Our client, a software product-based industry, is seeking a program manager to join their team. The ideal candidate will have Microsoft tech skills, coordination, and team operational support, which will align successfully in the organization.

Job Title: Administrative Assistant, Community Engagement

Location: Puget Sound, WA (Remote/Hybrid Available)

Pay Range: $40 – $50/hr on W2

Candidate Requirements
• Years of Experience Required: 4+ years of overall experience in administrative support roles, preferably with a focus on nonprofit or community engagement.
• Degrees or Certifications Required: No degree required.
• Disqualifiers: Candidates without administrative assistant experience at Microsoft will not be eligible.
• Best vs. Average: Ideal candidates will have experience with Puget Sound-based nonprofit foundations or corporate social responsibility teams. Familiarity with the Benevity grant-making tool is a plus. A solid understanding of diversity, equity, inclusion, and anti-racism concepts is essential.
• Performance Indicators: Strong communication, timely completion of tasks, responsiveness, organizational skills, and ability to collaborate effectively.

Top 3 Hard Skills Required
• Microsoft Tech Skills: Minimum 4 years of experience with Outlook, Office, Teams, and OneNote.
• Coordination: Minimum 4 years of experience in scheduling, managing partner correspondence, tracking progress, and content management.
• Team Operational Support: Minimum 4 years of experience providing administrative support, including agenda management, scheduling, and data analysis.

Hard Skills Assessments
• Assessment Dates: ASAP.
• Assessment Process: Includes a hard skills assessment with a Microsoft sponsor.
• Preparation: Candidates should have relevant experiences prepared for the assessment.

Duties
• Manage the Senior Director’s schedule and provide scheduling support for her team, ensuring excellent customer service with external civic leaders.
• Provide administrative support for external partners, nonprofits, and community groups, including correspondence, grant/invoice tracking, problem solving, and event planning.
• Coordinate nonprofit access to Microsoft resources (logos, program tools, technology, etc.).
• Manage and submit the team’s expense reports.

Experience
• Experience or interest in philanthropy and community engagement.
• Knowledge of the Puget Sound region and local nonprofit, government, and community-based organizations.
• Proven experience in executive-level administrative support, including communication and coordination.

Skills
• Proficiency in Microsoft products: Outlook, Teams, OneNote, Excel, Word, PPT, and CoPilot.
• Experience with online grant management tools, such as Benevity.
• Strong organizational and communication skills.
• Experience with calendar management.
