• This position is part-time, and work hours are Monday through Friday 1pm- 5pm.*

Under general supervision, performs entry level clerical and records maintenance work of routine difficulty in various Tom Green County offices.

This classification is distinguished from higher level clerical classifications by the performance of basic, entry-level tasks under close supervision. The Office Assistant classification may be used to “underfill” higher level classifications, if desired by a department to employ and develop persons with limited office experience or no departmental subject matter knowledge. Once fully trained, the incumbent may receive a non-competitive promotion to the allocated position classification.

Essential Duties and Responsibilities:

Greets, interacts, and communicates with the public in a professional manner; answers basic questions and provides routine information; provides directional information to the public looking for County office locations; refers more complicated operational or customer service matters to appropriate department personnel.

Accepts payments for fines or fees; provides change, as required; prepares and provides receipts to payer. Receives applications or other documents both in person and through the mail; date stamps documents and forwards to appropriate departmental personnel.

Answers multiple-line telephone; answers basic questions, directs calls, or takes and relays accurate messages, as appropriate. Enters basic information into automated databases. Schedules appointments for office staff, as assigned.

Operates copying equipment to make document copies, as required.

Files letters and other documents in proper files.

Operates paper shredder to destroy unneeded documents, as instructed by supervisor.

Receives, sorts, and distributes mail to appropriate personnel; prepares documents for mailing.

Replenishes form supplies, as well as paper in printers and copiers.

Attends meetings and training sessions; performs other duties, as assigned.

Knowledge, Abilities, and Skills:

Knowledge of basic clerical, general office operations, and records maintenance procedures; knowledge of the operation of personal computers and associated software.

Ability to follow instructions and perform accurate work, as assigned; ability to key data into automated databases in an accurate and timely manner; ability to work effectively with staff, citizens, County officials, and others.

Skill in the operation of personal computers for data entry.

Physical Requirements and Work Setting:

Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting up to 25lbs; visual acuity, hearing ability, and manual dexterity required.

Education and/or Experience Required:

Six months of clerical experience requiring the use of a personal computer; OR, graduation from a recognized business school.
